The Junior Project Coordinator and Logistics Liaison primary responsibilities are to follow established protocols and procedures in performing administrative support related to daily shipping activities of Keenpac products.  This position functions as a liaison to the BIS team in providing seamless support to the Keenpac team related to terminal locations for international and domestic shipments.  This role also supports Keenpac Management and Sales teams in some aspects of evaluating, quoting and project management related tasks to provide clients with best in class solutions.

  • Review, coordinate and follow up with shipping locations on orders to maintain accuracy and meet project timelines
  • Monitor and communicate with Project Coordinators all requests for early/late delivery of orders
  • Perform quality control on purchase orders received and create shipment POs and process order with BIS team
  • Perform quality control on ELC’s and submit to BIS team for costing and/or item set up
  • Prepare and distribute daily ‘Current P.O. Status Update’ reports and weekly ‘Production Reports’ in coordination with data received from BIS
  • Prepare and distribute customer specific trackers such as the Sephora Hub Tracker
  • Investigate and resolve inventory discrepancies related to supplier over/under run and issue revised paperwork
  • Report on urgent deliveries as well as obtain proof of delivery
  • Maintain Keenpac Duty/HTS files
  • Track, update, and communicate changes to Keenpac key contact files to include suppliers, Keenpac global locations, and Bunzl Shanghai
  • Create and submit packing lists for all orders
  • Assist Accounting team in resolving open questions related to freight on customer accounts
  • Learn and adhere to Keenpac’s Project Management processes (receipt of initial inquiries, review against criteria, ongoing liaison to management team, planning, executing, controlling, and completing the work required to achieve a specific result per client expectations/P.O.)
    • Evaluate inquiries, determine resources needed (art, manufacturing, sourcing)
    • Select appropriate vendors for projects and obtain minimum number of bids per procedures
    • Submit bid for review and approval from Manager of Project Management
    • Issue purchase orders to approved suppliers
    • Create and manage the quote request /bid sheet
    • Create and maintain required fields within MAS / JD Edwards with accuracy and timeliness
    • Coordinate complex projects using Keenpac’s project Management Tracking tool
    • Initiate communications with Bus Dev team members of significant changes or identified challenges and proposed solutions
  • Manage overall project timeline to meet deadlines and alert others in order to stay on track or agree to necessary changes and document them
  • Maintain client information and project filing system
  • Support required data integrity for all on demand reporting (MAS / JD Edwards, Bid sheets on shared drive, Client quotes, project timelines, etc.)
  • Support accurate and timely information flow
  • Re work, modify and maintain supplier key contact list
  • Accurately create reports to distribute on a daily basis


  • Bachelor’s degree preferred
  • A minimum of 4 years’ work experience related to project management strongly preferred
  • Strong Excel skills
  • Must have a strong sense of quality control for your own work
  • Effective project management skills to meet or exceed goals
  • Detailed oriented to ensure accuracy in project bids and price offers
  • Time management skills are a must
  • Ability to work in a fast pace environment
  • Effectively communicate both orally and in written form with management, internal and external customers
  • Demonstrate the ability to anticipate and solve problems
  • This position will require travel.
  • Must have the ability to lift heavy objects (up to 25 pounds) with or without reasonable accommodations
