The Executive Administrative Assistant will provide high-level, personalized support to the Executive Team and other Executives, acting with little supervision, anticipating needs while managing the day‐to‐day workflow and prioritizing various projects, which includes scheduling, contact management, preparing materials and presentations for meetings, and participating in a wide range of special projects. This position requires the ability to act with discretion and confidentiality.

Responsibilities:

  • Maintain schedules, including day-to-day and long-term management of meetings, projects, and priorities
  • Schedule all meetings and travel, including prioritizing meetings and communicating all relevant details to participants
  • Balance conflicting priorities in order to manage workflow, ensure the completion of essential projects, and meet critical deadlines
  • Ensure Executives are prepared for upcoming appointments by gathering materials necessary for each meeting
  • Assemble information for presentations, projects and strategic planning
  • Serve as the first point of contact for a wide variety of high-level relationships between Executives and external contacts
  • Develop and maintain efficient documentation and filing system
  • Complete expense reports for assigned Executives
  • Handle phone, email and postal mail inquiries and respond appropriately
  • Draft and edit correspondence, articles, reports and presentations; transcribe meeting notes
  • Coordinate and manage special projects, including working collaboratively with staff to assure projects meet deadlines
  • Utilize analytical skills and a demonstrate broad understanding of the business to effectively interpret and anticipate needs
  • Exhibit sound judgment and the ability to make reasonable decisions in the absence of an agenda
  • Prepare business presentations as assigned in PowerPoint to help Executives prepare for meetings.

  • Demonstrates an awareness of fundamental business principles of Bunzl, as well as an understanding of the overall industry in which the business operates
  • Displays proficiency using standard office equipment
  • Demonstrates advanced proficiency by quickly adapting to new technology and easily acquiring new technical skills

Qualifications:

  • 5+ years’ experience as an Executive Assistant or high-level Administrative Support in a Corporate environment
  • Proven organization and time management skills with the ability to complete a high volume of varied responsibilities in a fast-paced setting
  • Excellent attention to detail and the belief that no task is too big or too small
  • Superb communication skills (oral and written) with a confident, concise, clear and compelling style
  • Proficient in all MS Office applications including, Word, Excel, PowerPoint
  • Excellent relationship builder
  • Demonstrates a high level of tact, discretion, and diplomacy with all internal and external stakeholders.
  • Must also demonstrate ability to maintain confidential/sensitive information.
  • Strong planning and project management skills/Ability to take an idea from concept to completion
  • Resourceful, strategic problem-solving ability
  • High School diploma or GED required; Bachelor’s Degree preferred
